Oklahoma is an hour behind New York. Does that cause problems working with you?

Not for the working relationship, and it is worth separating the two places a time difference shows up. For people, one hour is negligible. Oklahoma runs Central, we run Eastern from Brooklyn, so our nine in the morning is your eight and our five is your four. The entire normal working day overlaps, which means a call can be booked at whatever hour suits you, and a question asked in your morning gets answered in your morning. Compared with working across several zones, this is about as easy as remote gets. Where the hour genuinely matters is inside the system itself, and that is on us to get right. Voice agent opening hours, after-hours routing, reminder calls, scheduled reports and follow-up sequences all get pinned to Central rather than translated from Eastern. A system running an hour off is the sort of fault that survives for weeks unnoticed, so we set it explicitly at build time.

How much time will a project take from our side?

More at the start than at the end, and it is concentrated in a few specific places. Early on we need real detail about how the process actually works today, which usually means a couple of conversations with the person who does the job rather than the person who manages it, plus access to the systems involved. That part cannot be outsourced to us, because only your team knows where the exceptions and workarounds are. Then there is testing. Before a voice agent goes live, someone on your side should call it repeatedly and try to break it, including the awkward questions your customers actually ask. That is an hour or two well spent and it catches things we would never think of. After launch, the ongoing time is small and mostly reactive: telling us when your hours, services or forms change so the system stays accurate rather than slowly drifting out of date.

What happens when the voice agent gets a question it cannot answer?

It hands over, and how that handover is designed matters more than almost anything else in the build. A voice agent should be given clear boundaries: the things it is allowed to handle, and everything else. When a caller goes outside that boundary, the agent should say so plainly and pass the call or the request to a person, rather than improvise an answer. We build that path deliberately, including where it goes when your team is unavailable, and the details already captured travel with it so the caller is not asked to repeat themselves. This is also why we push for a narrow first build. An agent handling three things well and escalating everything else is far better received than one attempting everything and getting some of it wrong. The measure worth watching after launch is not how few calls get escalated, it is whether the escalated ones reach the right person with the right information.

Do we keep our existing phone number?

In most cases yes, and there is usually more than one way to arrange it. The common approach is to leave your existing number where it is and forward calls to the voice agent, either all of them or only the ones that go unanswered after a set number of rings or fall outside your opening hours. That is the lowest-risk option because your number, your provider and your existing setup all stay as they are, and turning it off again is a single change on your side. The alternative is a new number dedicated to the agent, which some businesses prefer for a specific line such as bookings or support while the main number stays with people. What is possible depends on your current phone provider and how your lines are configured, so it is one of the first things we check rather than something we assume. We would confirm it before any build starts.
