Does an AI voice agent need anything installed at our office?

No hardware, and nothing that has to sit in your building. The agent runs on servers we manage, so the only physical requirement on your side is a phone number pointing at it. That is normally done either by forwarding an existing number, which changes nothing about the number your customers already have, or by moving the number across if you would rather. Your team needs an internet connection to see the results, read call summaries and check the calendar, but that is the same connection they already use for email. This matters more in Montana than in most states, because a build that depended on someone visiting a server in an office would mean a drive of several hours every time something needed attention. Nothing here works that way. If your internet goes down at the office, calls still get answered, because the agent is not sitting on your network.

We only take a handful of calls a day. Is a voice agent worth building at that size?

Sometimes not, and we will tell you when that is the case. The value of a voice agent comes from repetition. If the same five questions come up on most calls, or if calls arrive while your team is out on a job and nobody can reach the phone, the case is there even at modest volume, because what you are actually buying back is the call you never returned. If your calls are low volume and each one is different, a long conversation with a customer you know by name, then a voice agent is a poor fit and a smaller automation, tidying up scheduling or paperwork, is usually the better first step. There is no threshold number we can quote honestly, because it depends on how repeatable your calls are rather than how many there are. Our busiest months are summer and hunting season. How do you build for a load like that?

Two ways, and they are worth separating. The first is capacity. A voice agent does not queue behind itself the way one person on a phone does, so a burst of calls arriving together is handled differently from a burst hitting a front desk. The exact ceiling depends on the phone service sitting underneath, which is something we size with you rather than assume. The second is behavior, and it matters more than most people expect. What you want in July is often not what you want in February: different questions, different booking rules, different escalation. So we build the seasonal variations in from the start rather than rewriting the agent twice a year, and leave you able to switch between them. The same applies to workflow automation, where the busy-season version usually routes more aggressively into a shared channel so nothing sits unread in one person’s inbox.
